Useful AI and the five-step build that gets you there without a documentation project that never ships. Everyone’s chasing better prompts, but the real lever is context – AI that knows about your business will give better results.
The problem is that most of us know this, but can’t afford the time to sit and teach it. So, over the past few weeks, we had an expert show us how it’s done easily: Alexandra Buys is co-founder and COO of The Delta, who has rolled out Claude across their SA and Berlin teams.
Here are all five steps in one place to make it super easy for you.
How to build your business context layer
1. Start with one area, not the whole business
The fastest way to kill this project is to try to capture everything at once. Pick a single high-leverage area (sales is a good first one) and build the context for just that, so you get a real win in a week instead of an abandoned folder in a month. That first jump in output quality is what earns the rest of the build its time. This is the full guide to starting small.
2. Build your first doc from a conversation, not a blank page
The blank page is what stalls people. Instead of writing documentation from scratch, interview whoever runs that area for an hour, record it, and hand the transcript to your AI to pull out the context worth keeping. Talking is easy; writing is what never happens. Here’s the full method for building a doc from an interview.
3. Write the docs so the AI can actually use them
Don’t just point the AI at your existing wiki; those docs were written for humans, full of fluff the AI has to wade through, burning tokens to find the few lines that matter. Strip each doc to the key points, keep one topic per file, and write for retrieval, not reading. Here’s how to write docs your AI can actually use.
4. Set the rules for what the AI does alone
Once the AI knows your business, you’ll want it to actually do things, which means deciding what it handles on its own and what it brings to a human first. Split tasks by whether they’re reversible, write the escalation rules in plain language, and start conservative. Here’s how to tell your AI when to loop you in.
5. Point your team at the AI instead of at you
With the context built and the rules set, the payoff is that your team can get answers from the AI instead of queuing at your desk. Make the new rule “AI first, you second” — and every time you answer something the AI couldn’t, add it to the layer so the next person doesn’t need you. That’s how you finally stop being your team’s human FAQ.
